New Employee Onboarding and Benefits Orientation Sessions

Regional Onboarding Teams remain committed to partnering with departments to ensure appointments are processed as timely as possible and will remain as flexible as they can with their support.

Here are additional details around onboarding:

  • Simply speaking, the Regional Onboarding Teams continue to work under the assumption that all new hire/rehire paperwork is completed remotely through an online process that includes an improved DocuSign packet.

  • New employees will also be asked to identify an Authorized Representative (AR) who will act on their behalf to verify work authorization documentation (ie., ID) in order to complete their Form I-9. An Authorized Representative can be anyone, over the age of 18 (CANNOT BE THE EMPLOYEE) a spouse, partner, friend, roommate, UC Berkeley colleague, etc. Employees must meet with their Authorized Representative IN PERSON and complete Section 2 with the document(s) details of the Form I-9. Look here for a list of acceptable work authorization documentation.

  • If the employee does not have an Authorized Representative, Regional Onboarding Teams may work with the employee to make other arrangements.

Benefit Orientations are being offered via (online) webinars. To help new employees learn about this information, use the link to the right to get links to University of California Office of the President (UCOP) Benefits webinars.

Other details to ensure a positive experience for new Berkeley employees:

  • Proactively coordinate hire/start dates for new employees. To be I-9 compliant, employees cannot begin work until all Onboarding paperwork (including all necessary sections of their I-9) is complete.
  • Submit complete hire requests (via HR Service Hub) with all required attachments for background checks (e.g., signed IOC, job descriptions, etc.) and hire request forms to avoid delays in initiating Onboarding activities with new employees (background check details will be updated in the HR ServiceHub).
  • Leverage the information and tools on the UCnet Compensation and Benefits website.
  • It is important to remember that when an employee is working outside the U.S., they have specific guidance for their payroll, taxes, and benefits. Please share this information with applicable new appointee(s).
