Graduate Division updates process for charging fee remissions

Dear BRS Regional Directors and Research Administration Staff, Controller, Human Resources and Divisional Finance Leaders, 

This is an update regarding the process for charging fee remissions, one that will remain in effect through Spring 2020:

  • Remissions are charged in full during the second month of the semester: September for Fall, and February for Spring. The charge process is run monthly to account for appointment changes, additions, and terminations (including chart string changes). Charges are posted to salary chart strings proportionally and based on Position Funding in UCPath.
  • Remissions will generate for all remission-eligible jobs, even those with no Position Funding or funding that covers only part of the job period. In such cases, remissions will be charged to the salary source(s), including, for unfunded periods, the applicable default/suspense chart string.
  • Adding Position Funding, even retroactively (only in-semester retros will be handled by the process. Any transaction(s) prior to the current semester will have to be handled manually), will move remission charges to the new chart string(s). When salary expenses are being moved via a Direct Retro, either from the suspense fund to an appropriate salary source or between salary sources, Position Funding should be adjusted simultaneously to match the salary distribution effectuated by the Direct Retro; this will move the fee remission accordingly.
  • When Position Funding cannot be changed to match the salary distribution reflected in a Direct Retro, remission changes need to be made manually; please contact gradbus@berkeley.edu for assistance. 

Information on changes for the Fall 2020 semester will be distributed next summer.
