UCPath Lockout Periods and Other Reminders for Aug/Sept 2019

A reminder that over the next several months, there will be planned UCPath system-wide lockouts when additional sister campuses (UC Davis and ANR (Agriculture and Natural Resources) cut over to UCPath. During these timeframes, there will be no access to UCPath (this includes inquiry and self service). As outlined in the July issue of CalPath Connect (UC Berkeley’s UCPath monthly newsletter), here are the timeframes, which includes Berkeley’s TAM conversion (see below for those specific details):

Related Impacts: Talent Acquisition Management (TAM) / Recruiting System

While Berkeley transitions to the new UCPath TAM system, the current (HCM) TAM system will be unavailable for both applicants and hiring managers from 12 PM, August 22, through 8 AM, September 4. Berkeley’s HCM TAM data will be converted over the weekend of August 24 - 25, resulting in the UCPath system-wide lockout for those specific dates (though UCPath will be available on Aug. 22-24). 

Getting ready for the transition

Departments and hiring support staff should plan their work accordingly knowing TAM is not available during this timeframe. For example, any existing TAM data that might need to be accessed should be done prior to August 22; downloading any resumes before the lockout is helpful in order to review them while the system is unavailable. Please note: A huge amount of traffic is anticipated leading up to conversion weekend; as a result, downloads may take multiple hours if not a day. It is highly recommended doing these downloads by Aug. 20, at the latest.

New Recruitment requests during this transition

Recruitment requests will need to be submitted to Berkeley Region Services (BRS) via ServiceNow by August 1 to be posted prior to conversion (to allow time for both Recruitment to process and for the two week posting requirement window to close before conversion). Requests received after August 1, will be posted after September 4 (once UCPath TAM is live).

Increased Time for New Employee System Access and Pay

Now that the first three months of UCPath operations have passed, Berkeley is still experiencing increased processing times for UCPath transactions, including new hires, rehires, and additional jobs. On average, Departments should plan on 9-16 business days from onboarding until systems access in CalNet for new employees. Note: The Onboarding/BRS timeframe reference below includes the actual Onboarding experience plus any/all related processes.

This means employees should onboard as far as possible in advance of their start date. Should the employee be moving from out of state, please inquire with your HR Business Partner about remote onboarding options. 

Onboarding Deadlines for Ontime Pay for Upcoming Hiring

Given these upcoming UCPath lockouts and the increased volume of fall hiring, please note the following deadlines for employees to onboard in order for them to receive their first paycheck on time. Late onboarding will result in pay being processed in the next on-cycle payment.
