Onboarding support

The Regional Onboarding Teams will continue to provide service to the Berkeley campus with the understanding that their staff will be working remotely.  Here are additional details around onboarding: 

  • Simply speaking, all new hire/rehire paperwork will be completed remotely through an online process that includes an improved DocuSign packet.

  • New employees will need to have their work authorization documents (i.e., ID) physically inspected and documented on their Form I-9. The recommended method is for the employee to identify an Authorized Representative (AR) who will act on their behalf to verify their documentation in order to complete their Form I-9.

    • An Authorized Representative can be anyone over the age of 18 (EXCEPT THE EMPLOYEE); a spouse, partner, friend, roommate, UC Berkeley colleague or supervisor, etc. Employees must meet with their Authorized Representative IN PERSON and complete Section 2 with the document(s) details of the Form I-9. Look here for a list of acceptable work authorization documentation.

    • Authorized Representatives who have been identified by the new employee will receive an email from employment.authorization@universityofcalifornia.edu (it may also come from i9complete@trackercorp.com) and will include detailed instructions.
      • Tip! the email(s) may be in a SPAM folder so best to check there if the email is not in inboxes. 
  • If the employee does not have an Authorized Representative, regional Onboarding Teams will work with the employee to make other arrangements.

What to expect and what you need to do

1. DocuSign Packet - - new/rehire employee paperwork 

You will be sent your DocuSign packet via email from: dse_na2@docusign.net Check your spam if you have not received it!

Please complete your DocuSign packet as soon as possible so that we may initiate your hiring information in our system. The sooner the better!

2. Section 1 of your Form I-9 (Required employment authorization)

You will receive an email from: employment.authorization@universityofcalifornia.edu(link sends e-mail). Check your spam if you have not received it. Complete Section 1 of your Form I-9.

3. The Authorized Representative you have identified to act on your on your behalf to physically inspect your work authorization documents will receive an email from: employment.authorization@universityofcalifornia.edu (it may also come from i9complete@trackercorp.com). The email will include detailed instructions on actions they need to take in order to complete the verification.

Please note: this documentation is required by federal law in order to be employed by the University.
